Executive Administrative Assistant to the President

Tumika P. Cain

Tumika P. Cain is an executive level administrative assistant with over twelve (12) years experience. She has worked in various industries, managerial levels and capacities, with special emphasis on the not-for-profit sector. Tumika is noted for her professionalism, efficiency and warmth she brings to the working environment. In addition, she is also an award-winning author of several books, including Season of Change (her award-winning debut novel); a book reviewer, columnist and contributing writer for two magazines; blogger; contract book editor, and founder of the Say What?? Book Club. 

 

BASIC FUNCTION

 

To perform a wide range of support functions for the Chancellor and the Board of Trustees and to serve as the administrative assistant to the Chancellor. To serve as office manager for the Office of the Chancellor.

 

CHARACTERISTIC DUTIES & RESPONSIBILITIES

 

  • Provide support for the activities of the Chancellor and the Office of the Chancellor; coordinate and oversee preparation for events and meetings, maintain schedules for a wide range of groups and manage the operation of the Office of the Chancellor.

 

  • Serve as the executive assistant to the Chancellor, including: screen incoming calls and correspondence; coordinate the Chancellor's calendar; schedule appointments, meetings, luncheons, and the like; reschedule appointments as needed; maintain tickler files; notify Chancellor daily of scheduled activities; make special arrangements for meetings, such as arranging meals for luncheons, arranging meeting space, make/coordinate travel arrangements; compile agendas for monthly meetings of the Council of Presidents; prepare and distribute agenda materials for various meetings; organize and maintain Chancellor's working files; perform various background research and information collection tasks.

 

  • Serve as office manager for the Chancellor's Office: supervise the daily activities of four to six office support staff; assist with interviewing and hiring; train new employees; plan, coordinate and issue work assignments; monitor work in progress and check completed work; assist staff with difficult or unusual tasks; resolve problems; evaluate job performance; plan office staffing needs; proof and approve outgoing correspondence and reports; field telephone queries from a wide range of VSC constituents (students, parents, alumni, Trustees, faculty, administrators, and so forth) as well as other outside organizations/individuals (community organizations, professional associations, and others): determine nature of call, answer a wide variety of questions, investigate inquiries and refer to appropriate VSC office/personnel as appropriate; process time sheets; coordinate and provide staff support for search committees and various special events; perform basic bookkeeping tasks, such as managing petty cash and postage accounts, signing payroll checks, approving invoices and supply requests; maintain appropriate records and logs of Chancellor's Office activities and prepare reports on OC office operations as needed.   • Serve as the key support person to the ACU Board of Trustees, including: perform as recording secretary, coordinate Board and Board Committee meetings, coordinate arrangements for the annual Board retreat; arrange for meals and facilities for a wide range of events; compile and distribute Board agendas and support materials; coordinate the compiling and publishing of the monthly Board Book; take official Board minutes , prepare and distribute minutes; assemble current information packets for new Board members; process travel expense reimbursements; perform a variety of liaison functions with Board members. • Keep abreast of current ACU programs, policies, procedures, and practices.
